CRM Streamlines Client Management
Using a CRM (Customer Relationship Management) was one of the biggest breakthroughs in my design business.
Interior designing has a lot of stages (initial consultation, 3D models, material selection, quotes, etc.). I had a decent time keeping track of everyone when we were just starting out. But now that the business has grown, I'm handling dozens of clients at the same time, all at different stages of the process.
The only way I could keep track was with a CRM like HubSpot (no affiliation; that's just what I use). CRMs let me visually organize each client based on what stage they're in so I can easily remember how to serve each client every day. It also lets me know when I haven't followed up with a client in a while, so nobody gets left behind by accident. Lastly, it connects to other important software I use, like my advertising, my email newsletters, and my website. It acts like a central hub to make an otherwise complex business much easier to handle.

They also help us anticipate client preferences by analyzing trends and data from past projects, allowing us to tailor our offerings more precisely. This technology speeds up the design process and enhances creativity by freeing our designers to focus on more complex and innovative solutions.

Visual software has been a huge help. This helps the clients understand what the project will look like, both in 2D and 3D. Color rendering has come a long way in the last few years; it has also become much easier to use, and the cost has fallen dramatically. The technology also helps with pricing items out, as you can see each item that needs to be executed in the project.
Studio Designer Streamlines Proposal Processes
Studio Designer has transformed my business! Proposal creation, starting from requesting quotes from vendors to creating client purchase proposals and initiating purchase orders, is streamlined at the front end of the workflow. And the magic continues with fingertip access to expediting and receiving reports. I can't imagine managing these critical activities any other way.
Airtable Centralizes Project Organization
A software that has significantly enhanced our workflow is Airtable. This tool allows us to organize all our projects efficiently, especially in the context of interior design. With Airtable, we can structure projects by room and level, incorporating photos, attachments, and even customized categories to keep everything in one place. One of its standout features is the ability to share projects directly with clients, eliminating the need for extensive email exchanges. This way, all relevant information is centralized and easily accessible to everyone involved.
For instance, we currently have a 20,000-square-foot home with three levels and around 50 rooms, plus an exterior. Airtable allows us to compartmentalize this large-scale project effectively. We can break down the property by level and room, detailing the design elements for each space. We can attach images, documents, and various other materials that are crucial to the design process.
When meeting with clients or working on-site, instead of sifting through countless emails, Airtable serves as a central hub where everything is stored. This not only streamlines communication but also keeps the team aligned, ensuring that everyone has the most up-to-date information. Additionally, Airtable can manage purchase orders, pricing, and spreadsheets, which contributes to a well-organized workflow.
ClickUp Manages Diverse Design Firm Needs
As our firm grew rapidly, I knew right away we would need to incorporate software that did more than just the roles of what some categorize as an 'interior design' platform. After researching several different options, we decided to work with a platform called 'ClickUp.' While it wasn't built solely for the interior design industry, it did everything we felt we needed for our firm. It became a place for our inquiries to land, where we could easily assign tasks to specific designers, track the progress of projects, categorize all detailed notes into files, and communicate with both clients and our internal design team.
We streamlined our processes depending on the specific services each client was receiving, creating checklists within each project to ensure no steps were missed. ClickUp also became essential for onboarding new hires, providing a one-stop shop to reference everything they needed to know about our vendors, pricing guides, and how our work flows through a project.
The biggest change I noticed as the owner was that this software allowed me to reference every project within our company without having to go to each designer for a status update. It's like having all the answers in one place, which allows me to be more efficient and organized—without having a million sticky notes all over my desk.
